Hot Swap Overview - Streamlined Update Card Follow Up

We've created a super-awesome, streamlined "update card on file" feature, for subscriptions and payment plans.

This allows your customers to update their card on file, without having to login to a customer portal. When they click the "Hot Swap" URL, the only thing they will be able to do is enter a new credit card number. They will not be able to see any other information about their subscription (invoices, cancel, etc.) 

This tutorial is a further optimization to use with our Billing Automation settings.


This setup uses a unique one-click login link that expires after it is clicked. You will create an email with a link to "update billing information". When they click that link they will be automatically logged-in to a streamlined version of the secure update billing customer portal, where the only thing they see will be a field to "add a new card on file".

This is meant to be a super slick, quick way for your customers to update their card on file. 

If you want your customer to see all of the information for their subscription, download their invoices, and have the option to cancel their subscription, you would not want to use a "Hot Swap" URL. 

For full access to the customer portal, you will want to use the main customer portal URL in all of your follow up emails.


  • CRM / Marketing Automation Tool

  • Custom Field Setup for "Hot Swap" URL
  • Ability to merge the Hot Swap custom field into an email


  1. Create Custom Field in Your CRM Called "Hot Swap URL" (Not shown below in tutorial)
  2. Create a Zap in Zapier that starts with a Webhook URL
  3. Connect your Webhook to the Failed Payment Billing Automaiton event trigger in Spiffy Billing Automation settings
  4. Test Webhook connection
  5. Finalize Zap by connecting the Webhook trigger to map the Hot Swap URL to the custom field in your CRM (ActiveCampaign used as example below)
  6. Publish Zapier
  7. Use your Hot Swap URL custom field merge field in your follow up emails, so that your billing automation follow up emails link to the Hot Swap URL

This tutorial covers all of the setup that applies to Spiffy and Zapier.

Before you start... Create a Custom Field in your CRM / Marketing Automation Tool

You will need to create a custom field in your CRM / Marketing Automation tool before we get started. Spiffy will generate a Hot Swap URL, and we will be using Zapier to pass that URL to a custom field in your CRM / Marketing Automation tool. You will then be able to use a merge field, to pull in that URL into any email that you have setup for your Billing Automation follow up.

STEP 1: Create a new Zap in Zapier that starts with a Zapier Webhook

If you're new to Zapier, and have never created a Zap before, start with watching our Zapier Webhooks overview video tutorial to familiarize yourself with this process.

STEP 2: Select the "Catch Hook" option

STEP 3: Click "Continue"

STEP 4: Zapier will produce a Webhook URL. Copy the URL. We will paste this in Spiffy.

STEP 5: Go to Your Spiffy Account. 

From your main settings drop down, click on the "Automation" option.

STEP 6: Click "Add Action" in the top right corner

STEP 7: Select the Billing Integration Event that you want to use as your billing trigger. 

Payment Failed and Card Expiring are the most common

STEP 8: Click on Zapier, to start the Webhook trigger setup

STEP 9: Click on "Send Webhook"

STEP 10: Paste the Zapier Webhook into the "Zapier Webhook URL" field and click "Send Test"

STEP 11: Make sure the test was successful and click "Finish"

STEP 12: Now that Spiffy sent the webhook test. Go back to Zapier, click "Test Trigger" for Zapier to recieve the test, and ensure that Spiffy and Zapier is connected.

STEP 13: Make sure that test data came through, and click "continue" to setup your CRM connection.

STEP 14: Setup the second half of the Zap, Select your CRM / Marketing Automation tool

We will be using ActiveCampaign as an example for this tutorial.

Note: Be sure to create the "Hot Swap URL" custom field in your CRM/Marketing Automation tool. We will need that here in a few steps!

STEP 15: Choose the "Create/Update Contact" event option

STEP 16: Click Continue

STEP 17: Add your CRM Account, or Select your account if you've connected it previously

STEP 18: Click Continue

STEP 19: Locate the email field, and choose the "email" option from the webhook options.

STEP 20: Locate your "Hot Swap URL" custom field, select the "Hot Swap URL" from the webhook options

STEP 21: Scroll down to the bottom, and click the "Continue" button

STEP 22: Click "Test & Continue"

Zapier will create a contact in your CRM with at test Hot Swap Link in your Hot Swap URL custom field

STEP 23: Make sure your test was successful, and click the "Turn On Zap" button!

STEP 24: CONGRATS! Your Zap is LIVE!

STEP 25: Create/Edit links in your custom billing follow up emails

Add your "Hot Swap URL" custom field merge field as the source for the links or buttons in your follow up email campaigns.
